OrderSorted Local pilot · Updated 29 September 2026

This policy describes the current local pilot of OrderSorted, operated by Max Raymond. For questions about this policy or your data, contact maxraymond82@gmail.com.

What the app does

OrderSorted organises order, invoice and delivery information from a Gmail account you choose to connect. Its private inbox application runs on your Mac. This public website is separate from that application and contains no inbox or order records.

Gmail access and information used

With your permission, the app uses Google's Gmail read-only permission. Google grants access across the connected mailbox. The app's scan settings limit the initial period it processes, followed by newer messages. Related-message searches may retrieve older messages to connect delivery evidence to an order.

Processing can use message identifiers, dates, sender and recipient details, subjects, message content, attachments and tracking links. Every email in the processing scope can be assessed by AI, including emails subsequently judged unrelated to orders. Gmail access does not allow OrderSorted to send, forward, modify, mark read, archive or delete messages.

AI processing and other recipients

When AI processing is enabled, relevant email content, readable attachment content and order context are sent to OpenAI through its API to assess and interpret the messages. This can include personal information contained in the email. Processing is subject to OpenAI's applicable API data-handling terms. OrderSorted does not use Gmail data to train a general-purpose AI model.

The app contacts Google to authorise access and retrieve messages. When it checks a tracking link, it contacts the delivery or tracking website, which receives the requested URL and normal network information. Such checks do not submit forms or change delivery instructions.

OrderSorted does not sell Gmail information or use it for advertising. Its use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

What stays on your Mac

The private workspace retains structured order information, evidence references, user corrections and processing records in a local database. Credentials are stored in macOS Keychain. In private mode, original message bodies and attachment files are retrieved when needed rather than retained in the application's evidence database. Structured records can still contain personal information such as names, delivery addresses and limited supporting excerpts.

Processing records track decisions, failures, requests and usage so that work can be reviewed. User-specific corrections and learning remain associated with that user's workspace and are reversible. The app may create local backups during maintenance; those backups also need to be included when removing local data.

Retention, disconnection and deletion

Saved order and processing records remain in the local workspace until removed. Disconnecting Gmail removes the app's saved connection credentials but preserves existing order records and evidence references. You can also revoke access through your Google Account's third-party connections settings. To remove the local workspace, its backups or remaining credentials safely, contact the address above for assistance. Removal from the local workspace does not delete messages in Gmail.

Your choices

You can pause inbox checking, disconnect Gmail, review results and correct mistakes. Pausing takes effect after the current batch and does not recall information already sent for processing. Contact us to request access to, correction of or deletion of information held by the pilot, or to raise a privacy concern.

This website

These information pages contain no advertising, analytics scripts, contact forms or Gmail sign-in. The hosting provider processes normal connection information needed to serve and protect the website. Contacting us by email sends the information you choose to include to the support mailbox.

Changes

We will update this page when the pilot's data handling changes. A future public or hosted inbox service may require a revised policy before it is made available.
